Job Summary
Key Responsibilities:
šAdministrative Support: Manage the CEOās calendar, including scheduling meetings, calls, and internal/external appointments. Coordinate travel arrangements and keep records organized and up-to-date. šProject Management: Help track and manage timelines for ongoing projects. Provide regular updates to the CEO and ensure key deliverables are met on time. šContent & Communication: Draft and proofread communications, presentations, reports, and other materials. Maintain the company's CRM and manage external correspondence. šDocument Management: Prepare, organize, and maintain confidential documents, reports, and presentations for internal and external use. šResearch & Analysis: Conduct market research, gather competitive insights, and provide data-driven recommendations to support strategic decision-making. šEvent Coordination: Assist in organizing company events, meetings, and conferences. Manage logistics, communications, and follow-ups for both virtual and in-person events. šAd Hoc Tasks: Handle miscellaneous tasks as required, including personal assistance to the CEO on occasion, to ensure the smooth operation of the company.
Key Qualifications:
šExperience: Minimum 3-5 years of experience as an administrative or executive assistant. šSkills: Strong written and verbal communication skills, with excellent attention to detail. Proficient in Microsoft Office Suite, Google Workspace, and project management tools. šTravel Required: Ability to get a visa and travel with the CEO on occasion is required. šTech-Savvy: Comfortable with various software platforms and tools. Familiarity with CRM systems, scheduling software, and online marketing tools is preferred. šInterpersonal Skills: Strong emotional intelligence and professionalism, with a customer-centric approach to communication. Ability to manage multiple priorities and stakeholders effectively. šSelf-Starter: Proactive, organized, and able to work independently in a fast-paced environment, anticipating the CEOās needs. šIndustry Knowledge: Knowledge or experience in the Energy industry is a plus but not required.
