Job Summary

Key Responsibilities:

šŸ“Administrative Support: Manage the CEOā€™s calendar, including scheduling meetings, calls, and internal/external appointments. Coordinate travel arrangements and keep records organized and up-to-date. šŸ“Project Management: Help track and manage timelines for ongoing projects. Provide regular updates to the CEO and ensure key deliverables are met on time. šŸ“Content & Communication: Draft and proofread communications, presentations, reports, and other materials. Maintain the company's CRM and manage external correspondence. šŸ“Document Management: Prepare, organize, and maintain confidential documents, reports, and presentations for internal and external use. šŸ“Research & Analysis: Conduct market research, gather competitive insights, and provide data-driven recommendations to support strategic decision-making. šŸ“Event Coordination: Assist in organizing company events, meetings, and conferences. Manage logistics, communications, and follow-ups for both virtual and in-person events. šŸ“Ad Hoc Tasks: Handle miscellaneous tasks as required, including personal assistance to the CEO on occasion, to ensure the smooth operation of the company.

Key Qualifications:

šŸ“Experience: Minimum 3-5 years of experience as an administrative or executive assistant. šŸ“Skills: Strong written and verbal communication skills, with excellent attention to detail. Proficient in Microsoft Office Suite, Google Workspace, and project management tools. šŸ“Travel Required: Ability to get a visa and travel with the CEO on occasion is required. šŸ“Tech-Savvy: Comfortable with various software platforms and tools. Familiarity with CRM systems, scheduling software, and online marketing tools is preferred. šŸ“Interpersonal Skills: Strong emotional intelligence and professionalism, with a customer-centric approach to communication. Ability to manage multiple priorities and stakeholders effectively. šŸ“Self-Starter: Proactive, organized, and able to work independently in a fast-paced environment, anticipating the CEOā€™s needs. šŸ“Industry Knowledge: Knowledge or experience in the Energy industry is a plus but not required.
