Job Summary

Key Responsibilities:

📍Front Desk & Reception Duties: 📍Greet and assist visitors and clients with professionalism and warmth. 📍Answer and manage incoming calls and emails; route inquiries as needed. 📍Maintain a tidy, welcoming reception and meeting room area. 📍Handle incoming and outgoing mail, deliveries, and courier services. 📍Administrative Support: 📍Provide direct administrative assistance to the Senior Facilities and Office Administration Officer, helping with scheduling, documentation, and internal processes. 📍Assist the management with calendar coordination, travel arrangements, and any administrative tasks or needs. 📍Support daily office operations including ordering supplies, managing facilities requests, and vendor coordination. 📍Departmental Coordination: 📍Liaise with different departments (e.g., HR, IT, Finance, Operations) to ensure smooth communication and task follow-ups. 📍Facilitate internal requests, document sharing, and assist in cross-department scheduling and logistics. 📍Marketing & Event Support: 📍Assist the Marketing Team in planning and executing internal and external events. 📍Coordinate logistics for meetings, webinars, client visits, and team-building activities. 📍Support with promotional materials, registration lists, and post-event follow-ups. 📍Other Duties: 📍Perform any other ad hoc or additional tasks assigned by management from time to time.

Requirements:

📍Proven experience in a receptionist or administrative assistant role. 📍Excellent communication, organization, and multitasking skills. 📍Proficiency in Microsoft Office Suite and collaboration tools (e.g., Google Workspace, Zoom, Slack). 📍Ability to work with confidential information and manage multiple stakeholders. 📍Strong attention to detail, initiative, and ability to work independently. 📍Experience in a fast-paced or startup environment is a plus.
